ROOM HIRE


Cookham Social Club is located on Station Hill, opposite the railway station.
Showing the Dance Floor Cookham Social Club has an upstairs room that can be hired. It is newly refurbished and has comfortable seating.  It is set out in a lounge type setting.  The central part of the carpet can be taken up and used as a dance floor.  There is also a smaller meeting room and  bar leading off from the main room.  The room itself will hold up to seventy people.   
Outside caterers can be used for buffet type meals.  Members can bring in their own wine or champagne for toasting only.  The Cookham Social Club can provide wine and champagne if requested.

If the main room and bar are required the small meeting room is included in the price.  Conference facilities are available.

N.B. The room is used by regulars and is not normally available during the week.

EXTRA COSTS:
Extra bar staff if required at extra cost of £6 per hour per person
Light refreshments served i.e. tea and coffee: cost £15 based on 30-40 persons (based on hiring with staff)
Light refreshment equipment can be hired at a nominal fee of £5
If any catering is required this will be quoted on requirements when known
Entertainment can be arranged on request (i.e. disco/band)
Audio/Video Facilities avasilable on request
Full Conference Package available on request
Half day hire can be either 09.30 - 13.00 or 13.30 - 17.00
Full day hire is 09.30 - 17.00

Terms and Condition

.   The Applicant will be deemed to be the Person making and submitting the application.

.   Cookham Social Club will be deemed to be the representatives of the Management Committee of the Cookham Social Club.

.   All applications should be carefully checked, including the Terms and Conditions, the Terms and Conditions and the Application form must be signed and dated.  Completed Application forms should be returned for the attention of Roger Aisladie, Function Room Secretary, Cookham Social Club at least 21 days prior to the proposed event.

Cancellation and Payment Schedules:

i.   On submitting the application form a £20 deposit will be required to be included with the application, if the application is rejected by the Cookham Social Club, then this will be returned, if the application is approved then this deposit will become NON Refundable.

ii.   Full payment will be required within 14 days of the date of the event.

iii.  Cancellation: Prior to 14 days full refund less the initial deposit.

iv.  Cancellation: Between 7 and 14 days prior to the event, full refund less the initial deposit.

v.   Cancellation: Between 2 and 7 days, full refund, less the initial deposit, less any necessary expenses incurred by the Cookham Social Club in preparing for the event.

vi.  Cancellation: Between 1 and 2 days, full refund, less the initial deposit, less any necessary expenses incurred by the Cookham Social Club in preparing for the event.

vii. There will be NO refund of any kind.

viii. These cancellation fees and charges apply to Cookham Social Club only, where the applicant has asked for Catering and or Entertainment to be arranged, then additional charges may apply.

.     At the time of making the full payment an additional £50 Security deposit (Non member applicants only), refundable, will be required.  The security deposit will be returned ASAP after the event so long as there has been no damage to Club property or excessive clean up has been required.

.    The person making the application will be held responsible for:

 i.  The Guests behaviour, during the period of the agreement.

ii.  Should any damage be incurred as a result of the event to Club property.

.    The named applicant MUST be present at all reasonable times during the event.

.    No alcohol shall be consumed on the club Premises that has not been purchased from the Club, (the only exception to this rule will be wine and or Champagne for the purpose of toasts, the Club must be notified prior to the event of this).

.    Normal Rules and Regulations that conform with Licensing Laws shall apply.

.    Whilst on the Club premises all guests will be subject to Cookham Social Club Rules and Regulations.

.    The total number of guests allowed to use our function room facilities, as defined by Fire regulations, is 70 persons, contravention of this could result in the event being shut down.

.    Children should be supervised by an Adult and must not use the Hallways and or Stairs as play areas.

.    Any person who is banned or suspended from entering Cookham Social Club premises, at the time of the proposed event will not be allowed to attend any private function held at the Cookham Social Club.

.    Cookham Social Club staff and Committee members have the right to refuse Service and or entry to any person whom they are of the opinion is in an intoxicated state.
